Description

The main purpose of this key role for our business is to support the continued growth of the Eastern Regional Office in Cambridge whilst maintaining the company’s high standards. The successful candidate will have the ability to foster relationships with new and established clients and provide key administrative support to the small works division and the project teams.

The Candidate:

General Responsibilities:

Including but not limited to:

  • Assist the Regional Manager to manage the office on a daily basis to ensure it runs as efficiently and effectively as possible.
  • Assist the small works manager with maintaining complete control of ordering, invoicing and applications for payment
  • Assist project teams as required to maximise their productivity, results and quality of performance.
  • Assist in the completion of all orders in readiness for submission to suppliers and sub-contractors
  • Organise and maintain records of all staff and operative diaries and timesheets etc
  • Assist in the processing of all invoices from our supply chain and our own monthly applications for payment to our clients
  • In conjunction with our commercial team; manage all incoming payments due to the business and contact our clients as and when required to ensure we are being paid in a timely manner
  • Arrange, organise and record all key staff and operative training on a central database
  • Assist in the preparation of operating and maintenance manuals with the engineers
  • Manage and maintain the office electronic / manual filing of paperwork by the staff and operatives.

· Organise inductions for all new starters; liaising with IT and other departments as required to ensure Laptops, phones, cars etc are made available at the right time.

· Recording all staff and operative holidays and absences on a central database.

· Chasing and forwarding all timesheets from staff/operatives and ensuring correct signatures / sign-offs have been given from line managers

· Daily duties

o Answer telephone calls in a professional manner, taking messages, transferring calls and redirecting issues to the appropriate individual for swift resolution

    • To meet and greet clients and visitors

o General daily office administration duties as required

    • Ordering all stationary and protective wear supplies
    • Arranging external copying requirements
    • Liaise with Estates department as required regarding the office maintenance/upkeep/meter readings etc

Based at our Office in Babraham, Cambridge

Hours of work are negotiable but generally Monday to Friday – 8.00am – 5.00pm preferred

Salary and package to be discussed at interview but will be competitive for the role expectations
